SOP 283: GoHighLevel Personal Calendar Setup

This SOP covers connecting a user’s Google/Outlook calendar, setting working hours and booking rules, creating a personal one-on-one calendar in GoHighLevel (GHL), verifying sync, and embedding it on a GHL page.

Execution Time: 30-60 minutes

🚀 Goal: Create a one-on-one booking calendar for a single staff user, synced with their external calendar and embedded on a GoHighLevel page.

🤞 Ideal Outcome: Prospects can book available slots that honor buffers, minimum notice, and external conflicts; events sync to the user’s primary calendar and the calendar is live on a GHL page.

Connect external calendar and set availability

In this part, you’ll connect the staff user’s Google or Outlook calendar to GoHighLevel and define their availability. This ensures that new bookings are assigned to the correct calendar, conflicts are respected, and prospects only see valid time slots. We default to two‑way sync so changes stay in sync across both systems.

01▸ Go to "Settings" → "My Staff", open the user by clicking on the pencil icon to edit.

02▸ Go to "User Availability" and set up a meeting location, time zone and available hours. Click "Save".

03▸ Navigate to "Settings" → "Calendars" → "Connections", click "+ Add New".

04▸ Choose Google or Outlook and click "Connect".

05▸ Complete authentication and grant permissions to allow sync.

06▸ Under "Calendar Configuration", select "Conflict Calendars" to block availability from external events.

Pick any calendars where busy blocks should prevent new bookings from showing.

07▸ Click "Advanced Settings" and set sync mode to "Two-way" (use "One-way" if the client wants no contact creation/automations). Click "Save".

08▸ Check that the status shows green ticks with no reconnect warning, and that your chosen calendars appear in the list.

It may take a few minutes for the connection to finish initializing.

09▸ Go to "Availability" and ensure that the user’s time zone, as well as working days/hours and breaks, are correct, then click "Save".

Create the personal booking calendar

Now that the external calendar and availability are set, we'll create the staff user’s personal booking calendar in GoHighLevel. This ensures prospects can only book valid 1:1 slots, with Google Meet links auto‑generated and booking rules (buffers, notice, limits) applied to prevent double‑bookings and last‑minute scrambles.

01▸ Go to "Settings" > "Calendars" and click "+ New Calendar".

02▸ Select "Personal Booking" when prompted.

03▸ Name it "[First & Last Name] – Intro Call" or similar so it’s clear who and what the meeting is. Then, select the relevant team member. Set the duration to 30 minutes and adjust availability. Click "Confirm".

04▸ Next, preview your booking link.

05▸ Once active, it should appear on your calendar list. Click on the pencil icon to edit.

06▸ This will allow you to customize setups, such as notifications, adding existing forms, accepting payment, a thank you message, etc. Remember to click "Save".

Verify sync and booking rules

01▸ Open the booking link in an incognito browser. This ensures you’re not logged in as the staff user.

02▸ Book a test slot on the booking page URL. See if the booking confirmation notice appears.

03▸ Check your test inbox for the confirmation email. The standard confirmation email should arrive. It may take a few minutes.

04▸ Go to "Calendars" → "Appointment List View". Find the test booking you created listed there.

05▸ Log in to the staff user's connected Google or Outlook calendar.

06▸ Confirm the test event appears on the external calendar. It should show on the primary calendar with the right time and meeting link. Syncing may take a few minutes.

07▸ Try booking a time inside the buffer or within the 2‑hour minimum notice, and confirm the booking is blocked. The slot should be hidden or not selectable.

08▸ Next, add a busy event in the external calendar during working hours and refresh the booking link.

09▸ Lastly, confirm blocked time is removed. The busy time should no longer show as available.

Embed the calendar on a GoHighLevel page

In this step, you’ll make your personal booking calendar visible on a GoHighLevel page. This way, prospects can book directly while navigating your site or funnel, instead of being sent out to a separate link. It creates a smoother, on‑brand experience and ensures your booking rules are enforced in context.

01▸ Go to "Sites" → "Funnels" (or "Websites") and open the target page.

02▸ Click "Edit".

03▸ Click on the "+" button on your top left and click "Elements". Scroll down and drag the "Calendar" element to the page on your right.

04▸ Click on the added calendar element, then select the newly created calendar.

05▸ Click "Save" and then "Publish". Select the correct domain before publishing.

06▸ Click on the eye icon to preview on your top right. This is to open the live page URL and submit a test booking to confirm that the calendar loads and books.

07▸ You should see the confirmation screen by now. The confirmed slot should appear in "Calendars" → "Appointment List View" and on the connected external calendar within a few minutes. That's it!
