Build a 4-step email nurture in GoHighLevel using a form-triggered workflow with waits, reply stop, and an appointment-based exit goal.

🚀 Goal: Launch a 4-email drip that starts on form submission and stops on reply or booked appointment.

🤞 Ideal Outcome: Every new form lead receives 4 timed emails over 6 days; replies and bookings automatically exit the workflow.

🤔 Why this is important: Warm new leads with timely value and clear CTAs while preventing over-messaging once a conversation or booking starts.

Build workflow

You’ll build a GoHighLevel workflow that automatically nurtures new form leads with four timed emails. We use a simple form trigger, single enrollment, Stop on Response, and a Goal that ends the drip once an appointment is booked. This avoids double messaging and ensures leads exit as soon as they engage.Note: To personalize each email, use {{contact.first_name}} to personalize the greeting. Ensure the footer shows your mailing address and an unsubscribe link. You should see merge fields working in preview, and compliance info in the footer.

01▸ Go to "Automations" → "Workflows" → "Create Workflow" → "Start From Scratch".

02▸ Name the workflow "Nurture | New Lead Drip (Form)" and add a trigger "Form Submitted". Set the filter to "Contact", then "yes". Click "Save Trigger".

03▸ Open "Settings" (center) → toggle "Allow multiple opportunities" off, and turn on "Stop on Response".

04▸ Go back to the "Builder" tab and add an action "Update Appointment Status" under the trigger. Set the status to "confirmed". Click "Save Action".

05▸ Add another action "Send Email". Set the action name and subject to "Welcome to [Brand]! Here’s what to expect.". Click "Save Action".

06▸ Add another action "Wait" and set it to 2 days. Click "Save Action".

07▸ Add another action "Send Email" and set the action name/subject to "A quick tip to [solve X]". Click "Save Action".

08▸ Add "Wait" action again and set it to 2 days.

09▸ Add "Send Email" and set the action name/subject to "How [Client/Case] got [result]".

10▸ Add "Wait" action again and set it to 2 days.

11▸ Add "Send Email" and set the action name/subject to "Ready to [outcome]? Grab a spot.".

Test and QA

Now that the workflow is built, you’ll run a live test with your own email to confirm every part works. We speed up the waits to minutes, watch emails arrive, confirm contacts progress in logs, and make sure that replies or bookings pull them out of the drip. This ensures no lead gets duplicate or unwanted emails.

01▸ Edit each "Wait" and temporarily change 2 days to 2 minutes. This makes it possible to test the timing in a few minutes instead of several days.

02▸ Open the form and submit a test lead with your email. Confirm the first email action arrives in your inbox.

Check your inbox for the welcome email right away. If it isn’t there, look in "Spam" or "Promotions."

03▸ Open "Execution Logs" and verify the contact advances through the steps.

You should see your test contact moving step by step. Each email sent and "Wait" should show as completed in order.

04▸ Book a test appointment on the target calendar and verify the contact exists at the "Goal".

After booking, go to the workflow view and confirm your test contact has been removed at the "Goal" step. The drip should end with no further emails scheduled.

05▸ Reply to a drip email and verify the workflow stops due to "Stop on Response".

Send a simple reply like “Got it” from your inbox. In "Execution Logs," confirm the workflow ended after your reply and no further steps are queued.

06▸ Restore each "Wait" back to 2 days.

Put the waits back to their original 2‑day settings so your campaign runs on schedule for real leads.

Activate and monitor

Now that your test run confirmed everything is working, it’s time to officially turn the workflow on and keep an eye on performance. We activate the drip, then monitor logs and bookings to make sure errors, bounces, and exits behave correctly. This protects lead experience and ensures no one gets over-messaged once they book.

01▸ Make sure to toggle on the workflow to "Publish".

02▸ Monitor execution logs for errors and bounces during the first week.

Check the workflow’s "Execution Logs" daily in the first week to spot failed sends, bounces, or unusual errors early. You should see successful sends and no critical error flags during the first week. Sometimes processing may take a few minutes, so check back if it’s not updated right away.

03▸ Verify booked appointments, remove contacts from the workflow.

Book a real or test appointment in the connected sales calendar and wait a few minutes. Then go to the workflow view. You should see the contact disappear from the active steps once the booking is logged. The workflow should show as "Ended" due to the appointment-based Goal.
