SOP 251: Create an Email Alias in Google Workspace

Create alternate email addresses for users to receive emails using additional usernames with the same domain.

🚀 Goal: To create an alternate email address (alias) for a user in Google Workspace.

🤞 Ideal Outcome: Users can receive emails sent to their new alias address, giving them an additional way to receive email.

🤔 Why this is important: Email aliases allow users to have multiple email addresses without needing separate mailboxes, helping to organize and manage communications more effectively.

🗓️ When this is done: When a user needs an additional email address for their account.

Creating an Email Alias

01▸ Sign in to the Google Workspace Admin console at admin.google.com.

02▸ In the Admin console, in the “Users” section, click on "Create an alternate email address".

03▸ In the pop-up, enter the name of the user who needs the alias. And then click “Proceed”.

04▸ "User Information" will now be displayed.

05▸ Enter the desired username for the alias (the part before the @ symbol), and if you have multiple domains, select the domain on the dropdown. For example, enter “info” for info@yourdomain.com and then select the domain.

Note: The domain will automatically be added based on your organization's domain settings.

06▸ Click "Save" to create the alias.

Important: It may take up to 24 hours before the user begins receiving emails sent to the new alias address.

Verifying the Email Alias

01▸ Return to the user's account page.

02▸ Click "User Information" again.

03▸ Check under "Email aliases" to confirm that the new alias appears on the list.

04▸ Have the user check that they can receive emails sent to the new alias address after 24 hours.

Note: Users can send emails from their aliases once fully configured. They can select which address to send from in Gmail's compose window.
